Quantity Conversions

One of the unique and important industry features in CAPITAL is the "quantity conversion system" which deals with different units of measure both in purchasing and selling in the food business. Most accounting systems are unable to buy and sell in a variety of different sizes. For example, in your food business you might purchase by carton, box, kilogram, piece, etc, and sell by kilogram, piece, bag and other combinations, all with different associated cost and sell prices. CAPITAL Series 7 allows you to purchase and sell in an unlimited number of different sizes and units of measure. You can also define different cost and sell prices for each unit of measure you handle for your food and beverage. Invoicing and ordering is simple. If you have defined a cost and/or sell price for a particular unit of measure, just include that unit when entering the quantity. For example, you would enter 5KG to sell 5 kilograms. The correct prices are calculated and the correct number of units are deducted from inventory based on a conversion calculation you define for stock units-to-kilograms. If you wanted to sell two boxes, the operator would simply type 2BOX or whatever code you specified. The quantity, unit of measure and other relevant information can also be clearly displayed on your printed documents.

In the food business, especially fresh food, buy and sell prices change constantly. You can spend most of your time updating your stock prices if your system isn't optimised for the special needs of this environment. When cost prices change you need a fast way to have this reflected in your sell prices. There are several systems in CAPITAL that help achieve this. Group formulas can be defined for the products you carry, so when a cost or list price changes, and you receive new stock, other prices in your system are automatically recalculated based on percentages or other calculations you define.

The Stock Delivery Pricing System also lets you override or fine tune your automatic calculations. Since everything is formula based, you can even alter your mark-ups calculations on-the-fly, in addition to your pricing.

Batch Number Tracking, Use By Dates, End-To-End Product Tracing

The CAPITAL Serial/Batch and Special Property Tracking Module is possibly the most powerful and flexible multi-dimensional property tracking system available in an accounting system anywhere in the world, at any price. Batches, dates, and other numbers can be tracked from end to end. So it is possible to begin tracking "use by" dates as goods arrive, select specific batches when entering orders, and then transfer them onto final invoices automatically. You can even fill in batches, dates and other numbers, after invoicing has taken place. (Especially important if you need to ship goods with invoices in the face of an inflexible deadline.)

Perhaps one of the most innovative aspects of the Special Property Tracking System is the ability to define your own properties. CAPITAL can manage up to 250 separate methods of tracking stock. Any single food or beverage product can be assigned up to 40 of these properties at once. So now it is possible to track the movements of your inventory by any criteria you wish, such as supplier shipment number or code, region or anything else you need to track for quality assurance, to meet regulations, and for other purposes.

Order/Shipment Control

Certain invoices and all sales orders generate orders which are placed in the "Order Control Centre". Enter your customer food orders, indicate when the orders are required, and then use the Control Centre's allocation system to allocate available food and beverage stock on a priority basis. For example, your most important customers can be given priority allocation. A traffic light symbol next to each ordered item indicates which goods are ready to dispatch (green), which have not been completely filled (yellow) and where there are problems (red).

Delivery/Distribution Run Control

Once orders in your food business are allocated stock, picking instructions and truck delivery run sheets can be printed in any sort combination you wish to specify. This may include bin location for picking and packing and customer area for delivery. A consolidated pick report can be generated, indicating how many cases, crates, cartons, etc., are needed to fill all orders for the present delivery run.

Distribution Management and Logistics

CAPITAL's intelligent reordering system can consider the food quantities you are carrying in stock, the quantities already on order, the quantities on order from customers and the demand for the item based on past sales, in formulating a recommended restocking level. CAPITAL will even generate the purchase orders for you directly and these can be faxed or e-mailed to your suppliers. The suggested computer reorder levels can be adjusted by a human operator before being saved and printed.
