Master Security
At least one user must be in charge of master
security and that person is referred to as the administrator. The
administrator is responsible for issuing all passwords and security
levels.
Up to 50 passwords may be entered into the
system. To access the security maintenance program move to the
files pull-down menu and select passwords. This option will not be
displayed unless you have also
logged on with the master password.
Only users with a password security level of 9 are permitted access
to this operation.
The first user in the security file is the
administrator. Maximum security clearance cannot be lowered for
this user and no access options are shown as this user has access
to all facilities.
Fields include:
User Name
The name that will appear in audit trail reports
and at the bottom of the screen after the user has logged in.
Password
The user's password.
Access Level
The security access level. Level 9 is the highest
and level 0 the lowest. Users must have an access level of 9 in
order to change or assign security access profiles.
Under each operation the following rights may be
granted to users:
View if Granted
Users may view this area of CAPITAL only.
Add if Granted
Users may add records or transactions but not
necessarily edit or delete existing ones. View rights must at least
be granted before add rights become applicable.
Edit if Granted
Users may edit existing records or transactions.
View rights must at least be granted before any editing can take
place.
Delete if Granted
Users may delete existing records or transactions
provided deletions are operationally permitted. For example, you
cannot delete an account code that holds a balance. View rights
must, in most circumstances, be granted before the operator has the
option of deleting anything.
Print
If applicable, grants the user transaction or
record printing rights.
Time
If applicable, specifies the number of prior days
the user has rights to edit, add or delete transactions for.
Copying batches and account codes requires the
same access rights as adding new batches or codes.
Allowing "edit" rights for the
company access option will permit operators to change/re-open
an old financial year.
If you manage to lock
yourself out of CAPITAL by, for example, forgetting your password,
the original users.dat file must be retrieved from CAPITAL's
original disks and loaded over the existing users.dat file. The
master password will be reset to master and any previously set-up
access rights will be lost. Ensure that CAPITAL's original CD are
not made available to unauthorised staff. Doing so will compromise
the security of your system.
