Time Sheet Sales Analysis

Service Manager Component Only


 

The CAPITAL Service Manager allows you to link time sheet entries, such as labour charges, service call time spent, etc., to a product code for sales analysis. Why do this?

CAPITAL comes equipped with an enormous range of powerful sales analysis reports. By linking a product code to a time sheet entry you can utilise these reporting features, plus reduce and consolidate the number of cost/profit analysis reports you need to print.

The procedure is as follows:

1. It is recommended you create a stock group in Stock Control to represent your non-stock service/time codes.

2. Create a series of stock codes in Stock Control and assign them to the above stock group. These items are normally set as "non-diminishing" (as they are not real stock items).

3. There is no need to assign quantities or prices to these codes. They are only used as "points of reference" for CAPITAL's sales reporting facilities. If you do assign prices or tax rates, CAPITAL will ignore them.

When entering time sheet entries, assign each entry the applicable product/analysis code. Your normal sales reporting will then group these services in the same format as product groupings.

Hints & Tips

Should I still put materials and parts through the stock entry facility in the Service Manager?

Yes, definitely! Linking product codes to time sheets only effect the time sheet part of service management billing.

Won't my product sales double up?

No. Normally, if you don't assign product codes to your time sheet entries they merely go to the "other/non-stock" parts of your sales analysis reports. Assigning product codes allows you to take such activity out of this "lump" and assign it to more useful categories.

Of course, it is important that you use different codes and assign them to different stock groups. Whatever coding system you decide to use, you should clearly be able to distinguish between your "stock item/material" stock groups, and your "services/labour" stock groups. For example:

generate/notepad2.gifMulti-location Stock Control: If you are using multi-location stock control, CAPITAL will not prevent you from assigning sales analysis/product codes from different locations, regardless of your Stock Control parameter settings in INSTALLATION Workshop. Since the total sales transaction will be assigned to a location/department, there is no need to also assign the sales analysis code to a specific location/department. This saves you from having to enter the same labour analysis codes, etc., for each of your locations.
