Stock Transfers


 

The Enterprise Edition of CAPITAL manages stock transfer documents and supports in-transit tracking of inventory as a core feature of the system. You can, however, still transfer stock using the Professional Edition, although there is no transit tracking facilities.

In order to perform stock transfers the following must apply:

  1. CAPITAL must be set to Multi Location Stock Mode inside INSTALLATION Workshop.

  2. The "customer" account being "billed" must have its account type set to "Internal". Internal accounts are treated as departments by CAPITAL.

  3. You must specify the department/location code of where the stock is coming from, before you start entering stock items. This is done by clicking on the Charges/Settings tab page of the transaction and entering the appropriate location code in the Department field.

generate/hint1.gifIf a product does not exist at a particular location during a transfer, a record for that stock item will be created automatically by CAPITAL.

Enterprise Edition

To transfer stock, select Transaction|Stock Transfers from the main menu. A new transfer document will open.

A transfer document may be held in 5 different states. These include:

In Transit

The stock has been transferred from the selected department but has not yet arrived at its destination. The Transit Out stock quantity value will increase at the originating location. At the destination location the physical stock quantity (Stock In) will be increased by the transfer quantity but so will the Allocated (reserved) quantity. This is because the stock has not yet arrived and is therefore not freely available to sell.

Once the goods arrive, the transfer document's status should be changed to Arrived or the Stock Transfer Arrivals facility should be used to mark which stock items have arrived.

Arrived

If this option is selected transferred goods are made available for sale at the destination location immediately. Select this option if you do not intend to track in transit stock or the goods have arrived at the destination location already.

Cancelled

Select this option when you wish to cancel the transfer document. Stock item quantities are then restored to their original values, before the transfer document was written.

Partial Ship

This state indicates that some, but not all, stock items have arrived. CAPITAL will normally set the state of a transfer document to Partial Ship automatically, based on the current status of the items in the transfer document.

Suspended

This mode is similar to Cancelled. Suspended transactions do not have any effect on your inventory movements until the state of the transfer document is changed.

Viewing Transfers

If you wish to view existing transfer documents or look at items currently in transit, press the Rec tab button found near the top right corner of the transaction screen. Or from the stock transfer menu select View|All Transactions.

Transferring Stock Using Invoicing (Professional Edition)

Stock transfers can be created using the existing invoice transaction entry system.

You may use any transaction type except type 8 (which is reserved for transactions that do not involve stock movements). You may even assign a transaction type to transfers by altering one of the pre-defined transaction type descriptions. Stock transfers will only take place when you "invoice" a department or internal account, rather than a standard account.

Similarly, when you take delivery of stock on a purchase order and indicate a particular location where that stock is to be placed, that location must exist in CAPITAL as a department.
