Stock Tracing Component Only


 

When entering items on transactions with stock trace properties assigned to them, CAPITAL will automatically prompt you for assignment selection information. The assignment input window appears when:

Once you have highlighted the entry you wish to allocate, enter the quantity to allocate by pressing the appropriate number keys and press Enter or click on the Forward button.

For example, if you want to allocate 5 units of assignment RED, then you would highlight the RED entry and type 5 and press Enter. To select serial number 1000, press the 1 key followed by Enter.

Once you have made the number of allocations you want, CAPITAL will let you move forward if you press the Enter key or the Forward button. The Need quantity must match the Picked quantity before you can proceed further.

generate/notepad2.gif If you don't have numbers assigned to all your serialised stock, you may assign the remainder to the UNALLOTED row. Do this by pressing the End key and then enter the quantity.

If you allocate a greater quantity then you should have assigned, you must unallocate the excess quantity. Do this by entering 0 (zero) and Enter over the highlighted entry or by typing in a smaller number.

Back Ordering Assignments

If you accept back orders on invoices the assignment window will present an additional back order column.

Enter the quantity to sell in the Qty column and the quantity to back order in the Back order column. The entries you make here must add up to the quantities assigned to the stock item.

Sales Order Assignments

If you have activated Allocate Order Mode on sales orders, you will be presented with an additional Allocate column:

Enter the quantity to order in the Qty column and the quantity to immediate reserve for the customer in the Allocate column.

Portional Pricing

When working with portional pricing properties a different input window is displayed:

You may either select one of the existing lengths from the list by pressing Shift-Tab or enter a new length in the box below the Portional Pricing list. You can also enter the quantity available in stock and the quantity (Qty) to allocate.

To enter a new assignment do the following:

1. Enter the length and description (if applicable), e.g., "2.5 metres" in the edit control under the Portional Pricing column.

2. Press the Tab button to move to the edit control under the Available column. Enter the quantity physically in stock here. (This field may be disabled if you do not have sufficient security clearance to alter physical quantities.)

3. Press the Tab button to move to the edit control under the Qty column. Enter the quantity you wish to assign to the transaction's line item.

4. To save the new entry, Tab off this last edit control or press the Update button.

generate/hardware1.gif Multi-User Entry Feature

Entering assignments for extended stock properties is a live multi-user process. As soon as a serial number is delivered, deleted, assigned or allotted, all users on your network are made aware of the update. Since updates are processed immediately, you do not have to press the Save button in order to make other users aware of your selections. As updates are immediate, there is no opportunity for mistakes to occur, such as two users assigning the same serial number to the same product.

However, this does mean that you cannot leave your assignments in an "undecided" state during data entry. You must either allocate the assignments you wish to use OR cancel your assignments. This is why pressing Esc or pressing the <Back button will clear any partial or unconfirmed assignments.
