Stock Archive Management
Concept
A stock archive is a card file that contains additional or auxiliary product information, such as product lists. This is useful when you have to deal with very large price files, such as a spare parts file, and when you may only wish to carry a small fraction of the items contained in the list. Rather than clog your inventory system with stock records you may never handle, these records can be stored in another file and searched on demand, as they are required. They can then be easily moved from or to the Stock Control system as needed.
Stock
archive files are also easier to maintain, since product information can be grouped by each individual
archive, and archive files can easily be added or removed from the system.
Another
use for archives is to store stock record information on old/redundant stock items (rather than just permanently
delete them from your system). It can often be useful to access a file of redundant items that have been
handled by your firm in the past.
A
third advantage of stock archives is that by segmenting your price files--especially seldom accessed items--into
separate databases, your system can continue to perform briskly. The larger your stock file, the longer

Searching and Managing Stock Archives
An archive search scans a series of selected card file databases for product code or product description information matching the requested search text you enter.
Code to Find
Enter the first part of the product code or product description to look for and press the button to begin the search.
The number of matches found in each card file is displayed in the Matches column. If matches on both the product code and product description are found then a + symbol will appear to the right side of the number.
You can press the button to open any selected card file database or double-click a card file database with your mouse.
Transferring Records From and To Archives
To move a stock record into a stock archive:
Select from the Stock Control menu Tools|Transfer Record.
Click on the button to place a copy of the current stock record into the selected stock archive, or press the button to remove the stock record from the stock file and then place it into the selected stock archive.
To move a stock archive record into Stock Control, open the stock archive and from the Card File menu:
Select Tools|Transfer Record.
Select Stock file as the destination.
Click on the button to place a copy of the current stock archive record into Stock Control, or press the button to remove the item from the stock archive and place it in Stock Control.
