To access the stock/materials list go into the Service Manager and and select from the menu Job Entry|Stock Item/Materials Entry.

The stock/material list displays all stock items assigned to the current job card.

The M column is the mark column. If a tick generate/tick2.gif is placed in this column you can later specify when invoicing, that only marked items are to be invoiced. Press the Mark button or double-click on the column to tick or untick the selected row.

The P column stands for Periodic and if a tick generate/tick2.gif is placed here, it indicates that the product will be repeatedly invoiced each time the job is invoiced. This can be useful when you wish to produce a number of recurring invoices on a periodic basis.

Add

Press the Add button to assign new stock items to the job card. Assigned stock is automatically allocated/reserved in Stock Control.

Edit

Press the Edit button to edit the currently selected stock item.

Mark

Marked records can be selectively invoiced. Use this command to indicate which records to select. Press the key again to remove the marking.

Find

Press this button to locate another job card.

Zoom

Moves to the Stock Control system, pointing to the record currently selected.

Delete

Removes and unallocates the stock item assigned to this job.

Recalculate

Just prior to invoicing, CAPITAL will recalculate and update the stock file with the latest stock item cost information. If you wish to update the job card with current inventory costs right away, press this button.

Input Style

Two general styles of input are supported:

You may choose to enter the sell price, cost price and discount. This is referred to as "Sell Price/Discount" input.

Alternatively, you may choose to enter a cost price and a mark-up. The sell price is then calculated automatically but may be overridden. This is referred to as the "Cost Price/Mark-up" style of input.

By default, in either style of input, CAPITAL retrieves the cost price (if available) from Stock Control and applies any discounts applicable to the customer or the job card.

You may set which style of input is the default mode of entry by setting the Default to Cost & Mark-up Input.

You will not be able to select Cost Price/Mark-up style input when:

Fixing The Item Cost

If you have activated the Show/Edit Stock Item Costs option and have manually entered a cost for a stock item, that cost is retained during a cost recalculation. Costs that have been manually changed appear in a different colour from costs that have been retrieved from the Stock Control system.

If you wish to retain the current Stock Control cost for a stock item so that future recalculations will not affect it, enter the cost manually, even if you do not intend to change it. For example, if the cost appears as $10 and you do not wish this to change before the job is invoiced, move to the Unit Cost field and re-type 10 in this field. The colour of the cost amount should change to indicate that the cost has now been "locked in".

After Invoicing

Once an item has been billed/transferred onto an invoice, the item's colour will change again and you will no longer be able to edit or delete it.
