Security ![]()
To access the security maintenance program move to the Files menu and select Passwords. This option will not be displayed or accessible until you have logged on with the master password. Only users with a password security level of 9 are permitted access to this operation.
At least one user must be in charge of master security and that person is referred to as the administrator. The administrator is responsible for issuing all passwords and security levels to other users.
Up to 50 passwords and security profiles may be entered into the system.
The first user in the security file is the administrator. Maximum security clearance cannot be lowered for this user and no access options are shown as this user has access to all facilities.
User Name
The name that will appear in audit trail reports and at the bottom of the window after the user has logged in.
Password
The user's password.
Access Level
The security access level. Level 9 is the highest and level 0 the lowest. Users must have an access level of 9 in order to change or assign security access profiles.
Tick
this option to prevent this user from editing transactions in prior months.
Tick
this option to prevent this user from editing transactions in future months.
For each operational area the following rights may be granted to users:
View
Users may view this area of CAPITAL.
Add
Users may add records or transactions but not necessarily edit or delete existing ones. View rights must at least be granted before add rights become applicable.
Edit
Users may edit existing records or transactions. View rights must at least be granted before any editing can take place.
Delete
Users may delete existing records or transactions, provided deletions are operationally permitted. For example, you cannot delete an account code that holds a balance. View rights must, in most circumstances, be granted before the operator has the ability to delete anything.
If applicable, grants the user the right to print the record or transaction.
Time
If applicable, specifies the number of prior days the user has rights to edit, add or delete transactions for.
If
a period is closed in the General Ledger, you will be unable to edit transactions in that date range,
regardless of the number of days you are allowed to edit backwards in time. Closing periods in the general
ledger is optional. To open or close periods, start CAPITAL GL Controller and from the main menu select
Maintenance|Set Accounting Period. Then tick or untick the period under the Open column.
WARNING: If you manage to lock yourself out of CAPITAL by forgetting your password, the original users.dat
file must be retrieved from CAPITAL's original CD and loaded over the existing users.dat
file. The master password will be reset to master and any previously set-up access rights will be lost.
Ensure that CAPITAL's original CD is not made available to unauthorised staff. Doing so will compromise
the security of your system.
Each users.dat file is unique. Do not attempt to use a users.dat file from a different copy or version of CAPITAL. Doing so may result in data loss or corruption.
