Note Pad Management


 

You may assign up to 99 note pads to each database or operating area in your system. You can access the note pad management window by selecting Note pad Management from the View Menu.

This will present you with a list of available note pads.

An asterisk (*) in front of the note pad title indicates that upon opening, the date, time and user name will be inserted at the top of the notes area. Older note information will be moved down.

Opening a note pad

To open a note pad select the note pad from the list available and click Open button.

Adding a new Note Pad

To add a new note pad to your database click the Add button. The note pad will be given a default title. You can change the title of the note pad by clicking the Edit Button.

Editing a note pad

Select this option to change the title of the note pad for easier reference. You may also specify whether you want the system to automatically insert the date, time and user name, each time the note pad is opened. If this option is selected, the identification stamp will be placed at the top of the note pad, and other (older) note information will be moved down.

generate/hint1.gif CAPITAL cannot insert the user name unless you are using the security system and have logged in.

The note pad width refers to the size of the note pad as it appears on the screen. When printing note pads on forms and reports, the printed output can be of any width. It can be convenient, however, to match the width on-screen with the printed width so that operators will know exactly how note pad information will look when printed.

generate/hint1.gif If you are using the Service Manager and entering "work done" notes then the width is especially important, as this setting determines the width of the note information copied onto invoices. The maximum printed width for this area of the application is 40 characters, as invoice comment lines cannot exceed this width.

Deleting a Note Pad

You can delete a note pad by highlighting the one you wish to delete, and then clicking the Delete button.

generate/mistake1.gif Be careful. A note pad cannot be retrieved once it has been deleted!

Only the note pad that corresponds to the database you are accessing will be deleted. For example, if you are in the customers database and delete a note pad, only notes data entered through the customer system will be removed. Even if you have a note pad in another database (such as suppliers or card files) with the same title, it will not be effected.

Reminders and Alerts

Found under Customers: Place special messages and reminders here. CAPITAL will display this information automatically on-screen when you enter an invoice, sales order or quotation relating to this account. It will also be displayed if you create an invoice from the Back Order Control Centre and the "Manually Inspect Invoices" option is ticked.
