Importing & Shipment Supplier Transactions

Your next task is to assign the costs you have allocated to your stock, to your suppliers as well. That is, the following rule must be obeyed:
cost of stock + charges = total of supplier invoices
Keep in mind that if you don't yet have all the invoice details, such as dates and reference numbers, in front of you, you can edit the transactions created here by accessing Supplier Entries at some later date. (However, doing so will not then alter your inventory costs. You cannot perform a shipment costing until you know how much your shipment actually cost.)
If you have not fully allocated your charges to your stock, you will be warned:
You have not completely assigned your allocated costs. Proceed anyway?
You may ignore the difference by pressing the button to proceed. If you have allocated more than your original amount specified, CAPITAL will not let you continue. Either remove your over allocation or adjust the Amount To Allocate.
You may enter as many supplier transactions as necessary, until the allocation balance is zero. Typically there is one supplier invoice for whom you have purchased the stock from, another from your freight forwarder, and perhaps others for local cartage, insurance and so on.
If you have made a mistake you may cancel supplier invoice entry by pressing the button. This will return you to the Importing & Shipment Costing window.
For
General Ledger Users
If you have the general ledger activated, you will be taken to the supplier expense allocations screen after entering each supplier invoice. CAPITAL will create an expense allocation/journal and assign it to your "purchases" account. All you need do is press the button to save the allocation. If you edit it, it is recommended that you only allocate expenses to your chart of account purchasing codes, otherwise the general ledger stock total will go out of synch with your stock sub-ledger total. Finalise Job
Once your assigned balance reaches zero, a window will appear that will wrap up the costing process.
Purchase Received
This is the stock receive date that will appear on the stock records about to be placed into stock.
Place In Location
The location that stock will be placed in. This option is only available if multi-location Stock Control is activated.
Shipment Report
Tick
to print an optional shipment costing report.
Stock Labels
Tick
to print stock labels for delivered stock. Only applicable if you have set-up a stock label for use with
purchase order deliveries.
Cost Summary Report
Tick
to print a copy of the standard stock deliveries/costing report.
