To access this utility start INSTALLATION Workshop and from the main menu select Toolbox|Global Customer Delete.

This utility is used to delete all customers, or a group of customers, who have not been active for a specified period of time.

Category

Enter the customer category that customers must be assigned to in order to remove them from the customer database, or this leave blank to remove all customers.

generate/notepad2.gifThe customer category code is sensitive to the number of characters entered in this field. For example, entering C in this field will remove all customers whose category code begins with C. Entering CAT in this field will remove all customers whose category code begins with CAT.

Last Activity

The date of last activity for this customer account. If no transactions exist assigned to your customer on or after this date, the account is retained. If you leave the Last Activity field blank, then an attempt will be made to remove all customers, regardless of their last account activity.

Archive Name

If you wish transfer deleted customers to another database you may enter the database name here.

generate/mistake1.gifIt is important to realize that the system will only copy the information from matching fields into your specified archive database. So if, for example, the field CUSNAME does not exist in your archive database, this information will be lost during the transfer process. Only select an archive database that has been designed to store customer information. Note pad information is also not archived. If an account is deleted note information is permanently lost.

The Delete Process

The Global Customer Delete utility scans each record in your customer database based on the criteria specified above. If a matching record is found additional criteria is evaluated to determine if the account can be removed from the system:
