E-Gate Services ![]()
CAPITAL e-Gate is a dynamic transaction transfer utility for the importing of sales orders directly into the CAPITAL accounting system.
While it is presupposed that the major application for e-Gate will be electronic commerce derived from the Internet, the generic design of e-Gate means that information from other sources: such as thirty party vertical market applications, special purpose accounting programs, personal digital assistants (PDA's), contact managers and CRM systems, EDI, and point of sale devices, may also utilise e-Gate.
The transaction data file can contain three types of information:
General transaction information (often referred to as "transaction header" information), such as the sales order number, sales order date, account code, etc.
Product item information, such as the product code, quantity ordered, sell price, etc.,
and payment information such as the method of payment, payment amount, payment reference (receipt or card number), etc.
At a minimum the file must contain at least general transaction information and one product item. Payment information is always optional.
A
Note On Payment Processing: Because sales orders are not yet finalised invoices, payment information cannot
be directly applied to the invoice. Payment information appears under the customer's account as an unapplied
payment. Account management staff are prompted to apply the payment to the relevant invoice transaction,
once it is generated.
Setup Overview
These are the steps involved in setting up a sales order data import gateway:
1. Prepare a data file that conforms to the e-Gate specification. Consult the topic: E-Gate Services Technical Overview for information on the requirements in this area.
2. Specify where .ETR files will be found on your system and where they will be moved to, once they have been imported. Consult the topic: E-Gate Preferences for further information.
3. Map the sales order .ETR file using the External File Import utility. To do this, start the INSTALLATION Workshop program, and from the menu select Transfer|E-Gate Services|Sales Orders.
If
you have activated the Accept Duplicate Sales Orders option found in E-Gate
Preferences, ensure that under Action if Record Exists
the option Replace is selected.
4. Create a desktop short-cut to start the import process.
In the command line specify your directory, the INSTWIN.EXE program file, and the /EGATEn start-up switch, where n is the number of the task.
For example, if CAPITAL is located in your C: drive, in the \CAPITAL subdirectory, and you wish to execute the 2nd E-Gate Import Task, then the command line entry becomes:
C:\CAPITAL\INSTWIN /EGATE2
To execute the first Import Task, enter this command line:
C:\CAPITAL\INSTWIN /EGATE1
Trouble-Shooting The Import Process
When .ETR files are imported into CAPITAL, a copy of each ETR record is also placed in the OEEGATE card file or the card file specified in the Import Task Preferences window. You can determine if any problems occurred during the import process by opening this card file and by clicking on the tab button. A brief error description will be placed in the Report field if the transaction could not be imported. The record will also be placed on Hold and the Transfer field will be left unticked. If the record's Transfer field has not been ticked, that record has not been placed in the sales order system.
You
may correct the error if you wish or if you can. The next time E-Gate is run, an attempt will be made
to re-import the rejected transaction.
Hints & Tips
No credit limit checking is performed through E-Gate. Even if a customer's account is over their credit limit, CAPITAL will import the sales order without reporting this issue. However, during invoice release normal credit check warnings will still appear.
E-Gate does not part process sales orders. If any transaction line entries on a sales order cannot be successfully imported, E-Gate rejects the entire sales order.
