To access the E-Gate Preferences window, start the INSTALLATION Workshop program and from the main menu select Transfer|E-Gate Services|Preferences.

Select from the Task list the import task whose settings you wish to view or change. To save your settings press the OK button. Once you begin to change settings you will be unable to select a different import task until you either press OK or Cancel your input.

Task

Select to change the import task to view.

Accept Duplicate Sales Orders

Tick generate/tick2.gif to permit sales orders that already exist in the CAPITAL system to be replaced with sales orders imported through the E-Gate system. If an existing sales order number is found, the existing transaction and any allocated back orders are cleared. The new transaction is then imported.

generate/notepad2.gifIf an existing sales order has a status of "delivered" or "partial fill", the E-Gate system will report the problem and not replace the transaction already in CAPITAL. This is because delivered or partial fill sales orders have normally had stock items already shipped. If the original order was to be replaced, this information would be removed from the system without any record of it having occurred.

generate/notepad2.gifThis feature cannot be used in conjunction with Number By Group. If that feature is activated, duplicate sales order number checking is deactivated.

Transfer Address Details

Tick generate/tick2.gif to prefill transaction address details with account defaults if those fields are not supplied or left blank in the imported ETR file. For example, if the account postcode is left blank in the ETR file or is not included in the ETR file and this option is ticked, CAPITAL looks up the account's postcode and assigns it to the transaction automatically. If account or delivery address information may vary on a transaction by transaction basis, it is not recommended that this feature be activated.

Auto Price Sales Orders

Tick generate/tick2.gif to have CAPITAL automatically calculate the customer's purchase price and establish the order total. Customer special pricing rules and other applicable discounts will automatically be applied.

generate/mistake1.gifKeep in mind that ticking this option will cause whatever price the customer may have originally been quoted to be overridden. Do not select this option if the customer's price has already been negotiated or confirmed. For example, if you have "web specials" (prices displayed on your web site), ticking this option would override those prices, against your customer's expectations.

Auto Cost Sales Orders

Tick generate/tick2.gif to have CAPITAL automatically calculate stock item cost prices when importing sales orders. If this option is ticked, any cost price already assigned to the stock item is ignored.

Number By Group

Tick generate/tick2.gif to have CAPITAL automatically generate a transaction number if one is not supplied in the imported file. You must specify which field in the OEEGATE card file contains a reference number that can be used for grouping imported records into transactions.

For example, you may need to group by an imported invoice number but do not wish to use this number as, say, your sales order number. If this number was being placed in the Our Ref (OOurref) field, grouping should then be assigned to this field. The Our Ref field may contain these numbers in the following records:

Record 5

171715 (3rd group)

Because the first three reference numbers match, E-Gate will assign these records to the same transaction, e.g., sales order number.

generate/setuptip.jpgThis feature is useful when you are importing transactions from several different external sources and you do not wish to use the transaction numbers assigned by default. This may be because you have no control over the transaction number sequence and the possibility of a conflict with an existing transaction number already in the system may arise. Or another possibility may simply be because using the assigned transaction number does not "make sense" if used as, say, the sales order number.

Maximum Archive Files To Keep

The maximum number of .ETR files that are to be kept at any one time in the Archive Directory. Once the maximum limit is exceeded, files with the oldest date stamps will automatically be deleted.

If the maximum is set to zero, ETR files are deleted as soon as they are successfully imported. There is no need to specify an Archive Directory, in which case the Archive Directory path may be left blank.

generate/notepad2.gifWindows may become unstable or act erratically when accessing directories with very large numbers of files in them. For this reason a limit must be set to the number of files that can be stored in the Archive Directory at any one time. If you wish to retain copies of all ETR files you must back-up your archive directory on a periodic basis.

Email Address

Place an email address in this field if you wish to be notified by email if data is imported but cannot be translated into a sales order because of a problem in the imported file.

Form #1

If you wish to print a form after a sales order is imported, place the name of the form here.

Form #2

If you wish to print a second form after a sales order is imported, place the name of the form here.

Spooler

The name of the Visual Builder spooler file to log print job request.

If you wish to send the above forms to a specific print spooler, specify the print spooler here.

Print Picking Labels

Tick generate/tick2.gif to have E-Gate automatically print picking labels when importing sales orders.

File Retrieval Directory

The directory path where .ETR files are being delivered or downloaded.

You must specify a File Retrieval Directory in order to activate CAPITAL's E-Gate Service functions.

For example, the directory path might be:

D:\EGATE\FTPDOWN

Archive Directory

The directory path to move .ETR files that have been imported into CAPITAL.

The Archive Directory cannot be the same as the File Retrieval Directory.

For example, the Archive Directory path might be:

C:\CAPITAL\ETR

Transaction

The transaction type to import.

Card File

The name of the card file to import transaction records into. This structure must match the official structure of an E-Gate Import card file.

Import Script

The name and path of the DIM script which describes how the data mapped in the ETR file is translated into transaction data fields for import.
