Clerk Code Management
To access this function select Tables|Clerk Codes from the CAPITAL main menu.
This facility allows you to add, edit, find and delete entries contained in the Clerk Code Table. This table is used to associate "register clerks" with transactions during invoicing/point of sale processing. Unless you have activated clerk code prompting in the INSTALLATION Workshop program, the entries in this table will serve no purpose.
Note
that clerk codes are distinct from sales
person codes, and passwords.
If clerk codes are used you will be able to determine which "register clerks" created which transactions and the number of transactions entered by them and their value. Once clerk code prompting is activated in INSTALLATION Workshop additional options become available on sales reports.
Field options include:
Clerk Code
This is the clerk code that will be associated with each invoice/point of sale transaction. Clerk codes must be unique.
Clerk Name
You may enter the clerk's name here as a means of locating the clerk code more easily.
Clerk ID
The clerk ID is similar in many respects to a password. Each clerk must have a ID that uniquely identifies that person to the system. ID's are not "echoed" to the screen (so act like passwords) when they are entered. The Clerk ID is what CAPITAL will prompt for when a new transaction is raised or at the start of invoicing or point of sale, depending on the INSTALLATION Workshop operational setting.

HINTS & TIPS
During invoicing/point of sale entry the current clerk code can be cleared either by leaving the transaction or by selecting "cancel" from the invoicing menu. Either option will also erase the contents of the current transaction.
Clerk ID codes ARE required when releasing back orders. If back order releases are the responsibility of a different operator, this operator will need to be issued an ID as well.
