Cash Management Find


 

To access this function go into the Cash Management area, open a cash book and press the Find button.

Use this facility to locate a transaction in the Cash Management system, or limit the list of transactions displayed to those meeting specific criteria.

Fast Find

Date From

Enter the first date to list/view transactions from.

Date To

Enter the last date to list/view transactions to if applicable.

generate/hint1.gifIf you specify a Date To the Cash Manager will limit the transaction list to those transactions that fall between the from and to date ranges. Transactions outside this range will not be visible until you specify a new date range.

Transaction No

Enter the transaction number to locate. If a transaction number is specified, the search is not limited to the date range specified above.

Bank

Specify the bank account or cash book to search. This will default to the currently selected bank account, even if left blank.

If you only wish to perform a fast find without specifying filters (see below) then press the Find button after entering the transaction number or date.

Filters

Filters allow you to temporarily restrict the view of the entries in the Cash Manager to a matching list. This can be very helpful when you are "hunting" for a particular type of entry in your system. It is a good policy to start off with very few filter conditions and then add more in order to reduce the number of matching entries you receive, if you initially receive too many.

A filter may sometimes take a long time to create, especially if you have slower hardware or many transactions in your Cash Manager. Filters only affect the currently selected bank account or cash book. (If you have not specified a cash book code, the last selected cash book is used.)

Reference

The transaction reference. This will match any entry placed in either the Reference or Details fields of the transaction. You only need to specify the number of characters required for an adequate match. For example, entering "JOHN" in the reference would include "JOHN SMITH" and "JOHN JONES" in the filter. The reference entry is not case sensitive so "John Brown" would also be matched.

generate/hint1.gifIf you want to locate a reference by key word, put the $ character at the very start. For example: "$JENKINS" will include any transaction that contains the key word "JENKINS" in the Reference or Details fields, regardless of where the key word is exactly located. This would match entries such as: "JOHN JENKINS", "JENKINS. K. SMITH" and "J.Jenkins".

Amount

Enter the amount to match. Leave set to zero to include all amounts.

Expense/GL Code

This will only include entries in the filter view that match an expense or general ledger code that you have specified. Using this option may add considerably to the time it takes to build the filtered view.

generate/notepad2.gif If you are running the general ledger then the above field will be called the GL Code. If the general ledger is not running then the above field will be called the Expense.

generate/mistake1.gifThis operation will only include expense or general ledger codes that have been assigned to direct entries in the current cash book. For a complete list of ALL transactions see the: Expense Account Listing Report.

Customer Code

Enter a customer code to restrict the filtered view to. Only entries involving the specified customer account will be included. Using this option may add considerably to the time it takes to build the filtered view.

Supplier Code

Enter a supplier code to restrict the filtered view to. Only entries involving the specified supplier account will be included. Using this option may add considerably to the time it takes to build the filtered view.

Drawer Name

You may restrict the view to the drawer name. This is normally the name appearing on a cheque transactions when applicable. See the comments above regarding the Reference field when searching.

Deposit Type

This refers to the deposit type of the transaction, such as cash, cheque, credit card, etc. You would select from the list "Cheque" to include only transactions marked as cheques. The default "All" would include all types.

Cash Book Entries

If you include Cash Book Entries in the filtered view (see below) you will also be given the option to further restrict the view to a particular type of Cash Book Entry. Thus, if you wished to view only Transfers, you would select from the list the "Transfer" type. The default "All" would include all types.

Tick generate/tick2.gif from the selections below to further filter the find.

Customer Entries

To include all transactions created through Customer Entries in the search.

Supplier Entries

To include all transactions created by Supplier Entries and Supplier related utilities, such as the cheque creation/issue utility, in the search.

Special Entries

To include special Cash Manager transactions in the search. These entries presently include foreign exchange revaluations.

Unreconciled Only

To only include transactions that have not yet been reconciled/assigned to a bank statement, will be included on the view.

Tips On Working With Filtered Views

When possible, try to limit the transaction date range of the filtered view as much as you can. If you know that the transaction you are trying to hunt down occurred, approximately, in the last two months, specify the start date as three months back from the current date. Restricting the To date can also greatly speed up the time it takes to create a filtered view when there are many transactions forward of the period you are searching in.
