To release back orders, select from the main menu Transaction|Back Order Control Centre and press the Release button.

Once back orders have been allocated stock, the next step is to release them. For information on allocation stock to back orders see the topic: Back Order Concepts.

There are several options for releasing (or converting) back orders into invoices.

Release

All Accounts

All accounts that have back orders with stock allocated to them will generate back order release invoices.

generate/notepad2.gifAn exception is when an order has been marked for non-partial release, which case the invoice will not be generated until the entire order has been allocated stock.

Selected Account

Works like the prior option, except CAPITAL only releases what can be released from the currently selected account. Use the mouse to point to the account you wish to release before selecting this option.

Marked Items on all Accounts

This invokes a selective release. Only "marked" back orders (back orders with a generate/tick2.gif tick in the generate/select1.gif column) are released.

generate/notepad2.gif If stock is not allocated to the back order, the back order is on hold, or the entire order has not been allocated and marked and the original order is set for non-partial release, the back order will not be released.

Marked Items on Selected Account

Works like the prior option, except CAPITAL only releases marked items for the currently selected account.

Only Picked Quantities

If ticked generate/tick2.gif only quantities picked in the warehouse will be released.

Zones

From Zone

Enter the first zone you wish to release items for or leave blank if the start zone is not applicable.

To Zone

Enter the last zone you wish to release items for or leave blank if the end (or last) zone is not applicable.

Invoice

Manually Inspect Invoices

If this option is generate/tick2.gif ticked CAPITAL will display each invoice as it is created during the release process. The invoice may be edited as desired just as in invoicing or order entry. Clicking the Save button will total the invoice and move to the next invoice.

Print Invoices Immediately

If this option is generate/tick2.gif ticked CAPITAL will print the invoice as soon as it is generated during the release process.

Consolidate Back Ordering

Allows you to combine multiple separate invoice back orders or sale orders onto a single invoice.

generate/notepad2.gifIf consolidated back ordering is selected, CAPITAL will release partially allocated orders even if Partial release is not ticked for some transactions. Therefore, be sure to either hold, or only perform "full" allocations, if using this feature.

generate/notepad2.gif During consolidated back order invoice creation, CAPITAL will not consolidate multiple product code entries into single product codes entries, even if Duplicate Items Stock Check has been selected in INSTALLATION Workshop.

generate/notepad2.gif In consolidated entry mode CAPITAL will ignore shipping reference and salesperson information contained on any originating sales orders. These need to be re-entered manually before totalling the consolidated invoice. This is because CAPITAL may have to deal with conflicting information--the shipping details on two originating sales orders may be different, yet the goods can only be shipped using one method. CAPITAL will not guess the actual shipping information in these circumstances and will always leave these fields blank. Customer order number information is carried onto the consolidated invoice by placing it within the "body" section of the transaction.

generate/notepad2.gif Freight charges that have been associated with individual sales orders are not accumulated. If freight/shipping or a special charge is applicable, it must be entered manually onto the invoice again

Printing

Form

The name of the form to use during printing. Upon starting the Back Order Control Centre the default invoice form is selected. However, the form printed may vary depending on other system settings.

Copies

Enter the number of copies to print of each invoice transaction that is generated by the release process.

Pricing

Use Agreed Pricing

Select this option to retain the sell price of a stock item. This is retrieved from the original sales order or back order invoice at the time the item was back ordered. This is the normal setting.

Reprice Orders From Stock

If this option is generate/tick2.gif ticked, the stock sell price will be based on the current sell price as referenced in stock control. Any customer discounts based on this price will also be applied to the transaction.

Don't Price Stock

Tick generate/tick2.gif this option to not include pricing on invoices. This is useful when you wish to price stock manually as it is released or where you have already invoiced separately for back orders. This facility may also be useful when you wish to create delivery dockets for goods that have been invoiced separately.
