Back Order Reference

To access the Back Order Control Centre select from the main menu Transactions|Back Order Control Centre.
The main screen contains the following columns of information as standard:
S (Status)
The status of the back ordered item.
|
|
The stock item has been allocated stock and is ready to be released. |
|
|
The stock item is pending allocation or has only been partly allocated. |
|
|
The stock item has been allocated stock but has not yet been fully picked. This state applies only when the Warehouse Manager component is installed. |
|
|
The stock item has a required by date and this date is now overdue. |
|
|
The stock item is on back order hold or the stock item itself on hold. |
Account
The customer account code.
Location
The location of the back ordered product code.
This
only appears if multi-location
stock control is activated.
Product Code
The product code of the stock item back ordered.
Qty
The quantity back ordered.
Total $
The total value back ordered.
Date
The date of the invoice or the order.
Tran No.
The invoice number or order number from which the back order was derived.
Zone
The delivery zone.
Enterprise & Corporate Edition Only
Carrier
The shipping method or courier or delivery name.
Enterprise & Corporate Edition Only
Allocated
The quantity of stock that has been allocated to this back order.
Depending on the settings of INSTALLATION Workshop you can manually "force" the allocation of stock even if you don't have that stock.
Picked
The quantity that has been picked by warehouse staff if the CAPITAL Warehouse Manager is activated.

Forward
The forward date of the order.
A
Forward order is an order that is marked with a date to indicate that stock is not to be allocated to
it until that date arrives. A forward ordered back order will not be released until the current system
date equals or exceeds the forward order date.
Ordered
The date the item was specifically ordered through an automatic purchase ordering process if applicable, or the last time that item was ordered in general.
Free Stock
The quantity of the product available for sale.
Transaction
Whether the back order was generated from an order or an invoice.
Description
The product description.
Comment
An optional comment line that can be associated with the back order.

you scan scroll across to see more columns if they do not all fit on your display.
The Selection Columns
Use this option to mark a back order for priority release. A tick
will appear in the column to indicate that it will be released (provided stock has been allocated) when
the Marked
Stock Release option is selected.
Used to mark a back order for automatic purchase ordering. The column will be marked if the item has already
been ordered. It will not then be ordered again.

Used to place a back order on hold. Back orders held cannot be released/converted into invoices until
they are taken off hold.

The Buttons Explained
Find
Press this button to find a back order.
Release
A menu will appear with options for converting orders into invoices. See the topic Back Order Release for more information on what this process does.
Options
Options to assist in preparing the back order for release or for purchase ordering. See below for detailed information.
Edit
Use this option to allocate stock, change the Required or Forward Date or add or edit the comment line associated with the back order. When this option is selected CAPITAL will display the amount of stock currently available for allocation. Stock placed on hold cannot be allocated (but held back orders can).
To change the forward allocation date click on Forward Date. A Forward
order is an order that is marked with a date to indicate that stock is not to be allocated to it until
that date arrives. A forward ordered back order will not be released until the current system date equals
or exceeds the forward order date. You may override this date limiter by manually allocating stock.
If you double-click on a column that cannot be edited the allocation window will open. This is equivalent
to pressing the button.
Add
Use this option to add products to a back order.
Delete
Delete products from a back order.
Leave
Leave the Back Order Centre.
Click on
to move directly to stock
control and inspect back ordered item in greater detail.
You can also press ALT-Z to zoom to Stock Control for the selected back order item.
Click on
to mark transaction for release. CAPITAL will tick
all products on the selected order ready for invoicing.

Automatic Stock Allocations

Print Pick List Forms
Allows you to print picking list forms using Visual Builder.
Distribution Reports
Takes you to the Distribution Reporting menu. Here you can print various distribution related reports, such as standard and consolidated pick lists.
Comments/Notes
Allows you to enter comments, special instructions and note information related to the currently selected back order.

Calculate Order Statistics
Describes the amount of stock back ordered, allocated and its sale value for a particular account.
Clear Ordering Markers
Clears
in the back order file. Only the
items will be cleared.
Clear Release Markers
Clears
column in the back order file.
Clear Hold Markers
Clears
column in the back order file.
Set Item As Purchased
Marks the selected item as having already been purchased. This ensures that the item will not be ordered via the Automatic Purchase Ordering facility (if you are using this system).
You may click on the item's order status checkbox (found under the
column) to restore it for ordering.
Mark Transaction For Release
Sets all items on the currently selected transactions for marked release. This results in all items being
ticked under the
column.
Quick UPdate Transaction Info
Use this utility to change the Required Date, Forward Date, Zone or Carrier of a transaction (if applicable in your version) for all back ordered items on a transaction.

Delete Unfilled Back Orders
This function will delete all back orders in the system for customers who have their "do not accept back orders" setting ticked. It is assumed that you have attempted to pick all items in the Back Order Control Centre and cannot fill the orders that are remaining.
Do
not run this utility until you have picked (processed) all the orders in the system that you can. If you
do not do this first, you may delete orders you have not yet processed!
You
can also set the Back
Order Control Centre to automatically clear back orders that cannot be filled immediately from stock.
