To select the Back Order Comments & Note Pad, open the Back Order Control Centre and highlight the back ordered item you wish to associate the comment with and press Alt-N using your keyboard. You can also click on the note pad icon generate/notepad2.gifor press the Options button and select Comments/Notes... from the pop-up menu.

Enter your comments/notes in the note pad and press the Save button to save them.

You may also insert standard text messages by pressing the Insert Text... button. Click on the clock button to insert the time and date.

Finding Comments & Notes

To locate an existing note, comment or special instruction, enter the transaction number in the Transaction No field and press the Find button. The first comment/note relating to that transaction number will be displayed if any exist. To find the next comment/note in the system press the Next button.

Keep in mind that there may be a separate comment/note associated with each item back ordered in the Back Order Control Centre. To check whether there are further notes relating to the same transaction number, press the Next button.

You can also specify whether to locate comments/notes for all transactions, sales orders or invoices containing back orders, since they may have the same transaction number. By default, CAPITAL locates the first comment/note for the sales order or invoice number you specify. (Only invoices containing back ordered items appear in the Back Order Control Centre.) You may, however, limit your searching to either sales orders or invoices only.

generate/hint1.gifCAPITAL retains all comments/notes for all transactions indefinitely or until the transaction number is reused. This means you can locate a comment/note for a transaction that has already been released from the Back Order Control Centre. However, once a transaction has been released, you will no longer be permitted to edit the comment/note.
