Back Order Automatic Allocations
To access the Automatic Stock Allocation utility, open the Back Order Control Centre, press the button and select Automatic Stock Allocations.
The Automatic Stock Allocation utility does the following:
The earliest back order in the system is found (but this is limited by the selected date or transaction range if applied).
If stock is available, and it has not been placed on hold, it is allocated to the back order.
The next earliest back order in the system is found and step 2 is repeated.
Step 3 is repeated until all stock items are checked. Stock is not allocated to forward orders if the original order that generated it was set to Hold Forward. (At least until enough time passes so that it ceases to be forward dated.)
Orders that are open (being edited by another user) or being manually allocated by another user, are passed
over by the Automatic Allocation process.
You can select to allocate only the currently selected account or all accounts.
Allocate For All Accounts
Select this option to allocate all accounts held in the Back Order Control Centre.
Allocate For Current Account
Select this option to only allocate the currently selected account. You should use the mouse to point to the account to allocate before starting this operation.
Partial Allocates
Tick
to allocate stock to a back order even if there is not enough stock to meet the requirements of the entire
order. If this option is unticked the order is not allocated stock unless all back orders can be filled.
Unticking this option ensures that only complete orders will shipped.
Allocate Forwards
Tick
to allocate stock that is on forward hold. Forward hold orders should not normally be allocated.
A
Forward order is an order that is marked with a date to indicate that stock is not to be allocated to
it until that date arrives. A forward ordered back order will not be released until the current system
date equals or exceeds the forward order date.
Allocate On Hold
Tick
to allocate stock to back orders that are on back order hold. Held back orders should not normally be
allocated.
On Floor
Tick
to allocate all available stock including floor stock.
Floor
stock is reserved stock that represents a minimum critical holding level that should not be sold.
Transaction
You may select here which types of transactions to allocate. The default option is to allocate all types, which includes sales orders and back order invoices.
Location
If multi-location stock control is activated you may limit allocation of stock to a specific warehouse location.
Category
If specified only transactions whose customer account belongs to this category will be allocated. This can be used to allocate stock to priority customers first.
Product Code
If you enter a product code then only stock items that match this code will be allocated.
From Date
If specified, only back orders from transactions with a date equal to or greater than this date will be allocated.
To Date
If specified, only back orders from transactions with a date that is equal to or less than this date will be allocated.
From Transaction
If specified, only back orders from transactions with a transaction number equal to or greater than this date will be allocated.
To Transaction No
If specified, only back orders from transactions with a transaction number equal to or less than this date will be allocated.
Enterprise & Corporate Edition Only
The automatic allocation process can be customised using a scripting hook. If customised allocation processes are in place, a button will be displayed. Press this to display a menu of choices.
