To open the Appointments & Tasks Manager select Tools|Appointments & Tasks from the main menu.

The Appointments & Tasks Manager is used to record appointments/meetings and events, as well as record lists of activities and to-do lists.

The Appointments & Tasks Manager is multi-user based and can assist with managing the schedules of multiple users. Users should enter their names and passwords into CAPITAL's security system. The Appointments & Tasks Manager will use these names to keep each user's activities separate.

Tasks

The task list is useful for keeping track of to-do items that need to be performed. Enter the description of the task, priority, due date/date of completion (if applicable). You can also indicate when to be reminded of a task to perform. Tasks in CAPITAL are sorted by priority first. Lists with a priority of 'low' will appear last. An unlimited amount of note information for future reference may be assigned to each entered task in addition to other cross-reference information.

generate/notepad2.gifTo view tasks that fall due on the currently logged on system date, tick View Due Tasks Only.

generate/corporate.jpgUnder the Corporate Edition of CAPITAL Office you also have the option to tick Hide Completed Tasks which removes all tasks from the task list that have a status of Finished.

Appointments

The appointment list is useful for keeping track of meetings and appointments. Click on the calendar day to see appointments for any particular day. You can also use the arrow buttons near the top of the calendar to change months.

When adding an appointment you will be prompted for a short description of the appointment, the date of the appointment, the start time, end time or appointment length, and whether the appointment is confirmed or tentative. Unlimited note information can also be attached to each appointment.

generate/notepad2.gifIf you are unsure when an appointment is to take place or do not yet know, you may leave the start time field blank. Appointments without designated start times will default to 12:00am and appear at the top of the day's appointments.

Bulletins

Company bulletins may be viewed in the Bulletins area.

Search Results

When you go to find an appointment, task or bulletin board message, matched search results appear here.

Users & Sections

Users

When Appointments & Tasks Manager is first accessed the appointments, tasks and bulletins of the currently logged in user are displayed. You can view the items of a different user by changing the user selection from the User list. If you wish to view all users, select 'blank' as the user identifying name.

Sections

The section refers to the area of CAPITAL that the appointment or task refers to. If the Appointments & Task Manager is accessed from the main menu then the section defaults to 'All'.

If you wish to view tasks and appointments that refer to a specific area only, such as customer accounts, select 'Customers' from the sections list.

generate/notepad2.gifWhen creating tasks and appointments you can may click on the Links tab and specify the Area that the entry refers to.
