Activate General Ledger

No

Deactivates the general ledger. You may load general ledger data files in the same company directory but the general ledger will not interact with CAPITAL Office.

Yes

If selected CAPITAL will expect to find general ledger files in the system company directory. In this mode, CAPITAL will use the general ledger chart of accounts in place of the Expense Account Codes, deactivate certain CAPITAL reports superseded by the general ledger's financial statements system, and post automatic journals to the control batch system.

Automatic

Similar to to selecting Yes. If selected, CAPITAL will only operate in general ledger mode if the necessary general ledger files on the system are found. This is the default (recommended) operating mode.

Manual

CAPITAL will become general ledger aware but will not generate automatic journals immediately after entry of each transaction.

GL Set Priority Mode

Refer to the CAPITAL GL Controller help system for more information on General Ledger Sets, and the issue of general ledger set selections. There are currently two priority modes available:

Mode 0

This is the standard general ledger set selection mode.

Mode 1

This is a variation on Mode 0. In Mode 1, during stock sales related activities (such as invoicing) CAPITAL will first try to locate the general ledger set assigned to the stock item. If this is not specified, the general ledger set assigned to the stock group is located. So far, this is the same as Mode 0. In Mode 0, however, if no stock group general ledger set is specified, CAPITAL defaults to selecting Set "0". In Mode 1, CAPITAL will proceed further, by examining the general ledger set assigned to the customer or supplier account. If this is not specified, CAPITAL will try to locate the set assigned to the currency of the account. Only then, if this is not specified, will CAPITAL default to Set "0".

Use Mode 1 when you wish to split stock sales in your general ledger by customer. For example, you may have two departments, each with its own set of customers. In Mode 1, by assigning a general ledger set to each customer, but none to your individual stock items or stock groups, you will be able to produce a "total sales" by department dissection, while sharing a common inventory.

Show General Ledger Postings

If this option is selected, CAPITAL will generate journals for posting upon completion of each transaction. Direct, automatic journals may significantly affect the nature and operation of your accounting system. Consult the General Ledger help system for more information.

generate/hint1.gifEven if you will be using the preferred "end of month" journal transfer method (using the End Period Wizard), then this option can still be activated for testing purposes to ensure that the general ledger's automatic journals have been correctly set-up, and also to trap changes to your accounting records after periods have been finalised.

Enable GL Year Ended Message

Tick generate/tick2.gif this option to enable the warning message that appears if the prior general ledger year has not been closed off after 90 days into the new financial year.

Activate Foreign Currencies

Tick generate/tick2.gif this option to activate CAPITAL's foreign currency system. This will allow you to assign currencies to accounts (customers, suppliers and/or banks) and then prompt you for exchange rates where applicable.

Prompt For Exchange Rates

Tick generate/tick2.gif this option if you want CAPITAL to display the exchange rate table on start-up, once per day, automatically. Foreign currency processing should also be activated if you intend to use this option.

generate/notepad2.gifExchange rates can be changed at any time during the day by accessing the Exchange Rates Table.

Multiply Exchange Rate Amount

When prompting for an exchange rate in any part of the system, CAPITAL will expect that the exchange rate be entered as the percentage to divide into, in order to calculate the Australian dollar amount.

Tick generate/tick2.gif this option to change the expected input into a multiplier instead.
